Onboarding Checklist

Follow these steps to get fully set up with Sentinel and make the most of your bot from day one.

Get In

Open Sentinel in your browser

Go to your Sentinel URL. Works in any modern browser — no installation needed.

Log in with your account

Enter the username and password provided by your administrator. These are unique to you — do not share them.

Enter your room

After logging in, you'll see your private room. Your bot is already there, online and ready. This is where all your conversations happen.

Connect Your Tools

Connect Google Workspace and/or Microsoft 365

Click the Integrations button in the bottom-left corner. Connect your Google and/or Microsoft account to give your bot access to your email, calendar, contacts, and cloud storage.

Important: Connect at least one account. Without this, your bot can't read your emails, check your calendar, or send messages on your behalf.

Verify the connection

Send your bot a message to confirm everything is working.

“Are you connected to my Google/Microsoft account?”

Connect any other software you use

If you use a CRM, industry platform, or any other tool — ask your bot to connect to it. It will guide you through the setup and store your credentials securely.

“I want you to connect to my CRM. Here are my login details.”

Introduce Yourself

Tell your bot about yourself

Your bot learns from every interaction, but you can accelerate this by telling it who you are, what you do, and how you like to work. The more context it has, the better it performs from day one.

I'm a mortgage broker based in Melbourne. I mostly work with first home buyers and refinancers.
I prefer formal emails to clients. Keep internal comms casual.
My main clients right now are David Park, Sarah Chen, and Michael Torres.
Why this matters: Without this, your bot has to learn everything about you from scratch. A two-minute introduction saves weeks of gradual discovery.

Discover what your bot can do

Ask your bot about its capabilities. It will tell you what skills it has and how it can help with your specific role.

“What can you help me with? List all your skills.”

Put It to Work

Give it a real task

Don't start small — give your bot something real. The best way to learn what it can do is to use it on actual work.

Check my emails from today and summarise anything important.
What's on my calendar this week?
Draft a follow-up email to David about our meeting last week.

Upload a document

Your bot can read and process files. Click the paperclip icon in the chat, attach a document, and ask your bot to work with it.

“Here's a contract — summarise the key terms.”
“I've uploaded three payslips — extract the income details.”

Schedule your first cron job

Set up a recurring task so your bot works for you on autopilot. A morning briefing is a great place to start — it'll be waiting in your chat before you even open your laptop.

“Every weekday at 8am, check my calendar and emails and give me a morning briefing.”

Make It Yours

Save a workflow as a skill

When you and your bot figure out a process that works — a sequence of steps, a way of handling something — tell it to save that as a permanent skill. Next time, it runs automatically.

“That process we just did — save it as a skill so you can do it automatically next time.”

Set your first guardrail

Tell your bot any rules you want it to follow permanently. These are saved to its configuration and enforced in every conversation, forever.

“Add a rule to AGENTS.md: always show me a draft and get my approval before sending any email.”

You're set up. Now keep going.

The more you use your bot, the smarter it gets. It learns your clients, your preferences, your workflows, your corrections. Within a week, you'll wonder how you worked without it.

When it gets something wrong, correct it — it remembers. When you figure out a great process, save it as a skill. When you want a new rule, add a guardrail. Your bot compounds its value every single day.

    Download Element X

    Get it from the App Store (iPhone) or Google Play (Android).

    Tap "Sign in"

    Do not tap "Create account" — your account already exists.

    Change the server

    Tap "Edit" or "Change homeserver" and enter:

    sentinel.intelliprop.com.au

    Log in with your credentials

    Same username and password as desktop. You'll see your room and bot immediately.

Important: You must change the server to sentinel.intelliprop.com.au before logging in. The app defaults to a different server which won't have your account.
